Received the Wrong Part

The box that arrived isn't what the job needs — wrong part in the box, wrong fitment, or the tech caught it at install — and the line is already Received on the RO.

You'll see this when

  • The part received on the RO doesn't match what the job actually needs, and the line already shows Received.
  • This should be rare — but when it happens, the fix is a return and a re-receive, not a deletion.

Keep the line moving

If the vehicle is on the lift waiting, get the right part moving first: add the correct product to the job and get it ordered now. The paperwork on the wrong part can happen while you wait for the delivery.

Fix it

  1. Return the wrong part. On the RO, click the line's Received status and pick Return. Write a Reason the supplier can act on ("wrong part — needed X, received Y"), and capture the credit memo when it lands. Full steps: Returning Parts.
  2. Add the right product to the job and order it — same as any part: Adding Parts.
  3. Receive it when it arrives, against the new invoice: Receiving Parts.

When you're done the RO has two lines: the returned one and the correct one. That's how it should look — the returned line can't be deleted, but it charges the customer nothing and doesn't appear on their Repair Order or invoice. It stays as your breadcrumb for the supplier credit.

Part landed in the wrong place entirely?

If something was received into Shop Supply that should have been an outside purchase on an RO — or the other way around — that's not a return. Post in the store's OverDrive support channel and the team will adjust the record so it can be received properly.

Escalate

If the return won't process or the replacement can't be ordered, post in the store's OverDrive support channel with:

  • The RO number
  • Both part numbers — what was received and what the job needs
  • The PO and supplier invoice number the wrong part came in on
  • A screenshot of where it's stuck
