House Accounts (Type 8 / AR)¶
OverDrive does not carry full Accounts Receivable at go-live, so VAST stays running for AR. A House Account service transaction originates in OverDrive, then the AR side is re-keyed into VAST — which continues to own payment application, aging, statements, and cash application. Store 4237 runs roughly 7–10 Type 8 transactions a week.
When this applies¶
A Type 8 (House Account / AR) customer completes a service transaction in OverDrive that has to be billed to their AR account.
The workaround¶
- Create the service transaction / RO in OverDrive for the Type 8 customer — OverDrive is where the transaction originates. (Store Associate)
- Do not print or email the invoice from OverDrive for Type 8 customers. The customer's official invoice — with the correct VAST invoice number — comes from VAST. (Store Associate)
- If the customer asks for documentation at checkout, hand them a paid repair order from OverDrive, then send the official invoice from VAST afterward. (Store Associate)
- Re-key the AR transaction into VAST using dummy inventory, so it's recreated exactly for AR and invoicing. (IT — Derek / Retail Systems)
- Let VAST own payment application, account management, house-account invoicing, and every other AR function OverDrive doesn't carry today. (Central AR — Julie Banks / Janet / Krisant)
Go-live & cutover notes¶
- Employees who take Type 8 transactions must exist in both VAST and OverDrive, since AR still runs in VAST. Ties to the AR re-key — see New Employees & HR Onboarding. (Derek)
